Migrating from Banana Accounting / Bexio to an AI Cloud System (without losing old data)

How to export chart of accounts, balances, entries and documents from Banana and Bexio, import into Swiss AI cloud, verify totals and keep history for audits and tax checks.

Why leave Banana or Bexio for AI cloud

Banana Accounting (local .ac2 files) and Bexio (Swiss SaaS) have served thousands of SMEs. Banana stays desktop-bound with manual updates; Bexio is cloud but with limited automation on OCR, bank matching and learning from your accounts. Both struggle when you need multi-client fiduciary workflows, AI that learns from corrections and smooth migration to modern tools.

Banana is single-company oriented; many clients mean separate folders and files. Cloud multi-mandate centralises everything.

Invoice OCR, categorisation, QR-invoice, CAMT and Kontenrahmen KMU in one updated environment — not a supporting Excel sheet.

What you must not lose in migration

Data checklist before closing Banana or deactivating Bexio:

Data to migrate or archive

  • Chart of accounts and mapping to Kontenrahmen KMU
  • Opening balances / trial balance at last closed date
  • Open customer and supplier items (unpaid invoices)
  • Current-year entries (if migrating mid-year)
  • Attachments: invoice PDFs, receipts, contracts (Banana folder or Bexio attachments)
  • VAT history: tax codes, quarterly returns, VAT account balances

Do not delete Banana (.ac2) or the Bexio account until you have verified balances and the first VAT return in the new system. Keep exports and originals at least 10 years.

Exporting from Banana Accounting

Banana stores everything in the .ac2 file. How to extract data completely:

Backup the .ac2 file

Copy the file to external disk or cloud before any change. It is the master archive if CSV export has gaps.

Export accounting rows to CSV

File menu → Export → Rows to CSV/TXT. Include current year and prior years if history is needed. UTF-8 encoding for accents.

Trial balance and chart of accounts

Print or export trial balance at 31.12 (or migration date). Export account list with number, description, group.

AC2 format and AccountEX support

AccountEX supports import from Banana AC2 and CSV: chart, balances, open items. Technicians can run guided free migration during promotions.

Exporting from Bexio

Bexio is already cloud: export via panel or API:

Accounting export from UI

Export chart, contacts, invoices and movements as CSV from the accounting module. Verify VAT and UID fields on each row.

REST API for bulk export

For large volumes or fiduciaries: script on Bexio API (accounts, invoices, journal entries). Respect rate limits and OAuth tokens.

Attached documents

Download PDF invoices and expenses linked to entries. Without attachments you lose evidence in audits.

Close period in Bexio

Before migration, close the accounting period in Bexio and generate final balance — avoid «in progress» figures that do not match the new tool.

Importing into AI cloud (AccountEX)

Five operational steps after export from Banana or Bexio:

Create mandate and fiscal year

New client/mandate, Kontenrahmen KMU, year start = Banana/Bexio balance date.

Import chart and balances

Upload CSV or AC2; map non-standard accounts. Verify assets = liabilities before proceeding.

Import open items and master data

Customers, suppliers, open invoices. Reconcile with bank statement on the same date.

Upload documents and enable OCR

Upload historical PDFs; AI suggests account and VAT. Correct first entries to train categories.

Connect bank and enable automation

CAMT.053 or API: new movements match imported open items. From here current accounting lives only in the cloud.

What AI adds vs Banana and Bexio

After migration, value is not just «being in the cloud»:

OCR and QR-invoice reading

Scanned invoices or PDFs: amounts, supplier, VAT extracted automatically — less typing than Banana and base Bexio.

Smart bank matching

AI suggests payment-invoice links learning from past matches and team corrections.

Recurring categorisation

Same supplier or expense type: consistent account proposal. Useful for SMEs with hundreds of movements per month.

Real-time reports and VAT

Dashboard and draft VAT return always updated — not only manual export from Banana or month-end Bexio reports.

Verify: no data lost

Parallel accounting 4–8 weeks (or at least one VAT quarter):

Trial balance

Month-end: Banana/Bexio totals (read-only) vs cloud — zero or explained difference.

VAT return

Generate quarterly return in both systems for the same period; compare VAT due and recovery.

Customer/supplier open items

Aging report: same open amounts on the same date. Missing open invoice = lost in migration.

Document sample

Check 10 random invoices: amount, date, PDF attachment present in cloud.

Tips for migration without losses

  • Prefer migrating on 1 January or VAT quarter start with certified opening balances
  • Keep Banana .ac2 and Bexio exports in readonly archive for 10 years
  • Document old → new account mapping table for the auditor
  • Run a test import on a test mandate before the real client (fiduciaries)
  • Do not migrate during year-end close — freeze numbers in Banana/Bexio first
  • Use AccountEX for AC2/CSV: assisted migration avoids balance and open-item errors
  • After verification, stop new entries in Banana/Bexio only — do not delete history
